For Indian NGOs and charitable trusts

Donation receipts, from the donation to the donor’s hand

Jinseva Receipts records donations, issues numbered receipts on a design your trust controls, renders each one to a PDF, and gives every donor a QR code they can check the receipt against. It also keeps the donor register, the reports and the audit trail behind all of it.

  • Numbered receipts on your own design
  • WhatsApp, email, PDF and print
  • QR verification without an account
  • 11 reports, with exports

What is Jinseva Receipts?

Jinseva Receipts is web-based donation receipt software for Indian NGOs and charitable trusts. An organisation registers, records its donors and donations, and issues receipts under its own numbering series on a receipt design it lays out itself.

Each organisation’s records are its own: donors, receipts, designs, signatures, reports and settings belong to the trust that entered them and are not shared with any other organisation on the platform.

What the donor is handed

The document itself: your trust’s letterhead, a number from your own series, the amount in figures and spelled out, the 80G declaration, and a code the donor can check the receipt against.

A sample donation receipt: the trust’s letterhead, receipt number, donor, the amount in figures and in words, a verification QR code and the 80G declaration.
A sample receipt carrying the fields the built-in designs place. Every value on it is printed from that receipt’s own frozen record, and the QR code opens the public verification page for that one receipt.

What you can do with it

Nine areas, each with a page describing exactly what it does and what it does not.

  • Donation receipts

Record a donation against a donor, a head and a payment method, then issue it under your own numbered series. Issued receipts cannot be edited; a mistake is voided and the number stays spent.

    How receipts work
  • Your own receipt design

Lay out the receipt on the sheet it prints on, using a component library rather than markup. Publishing a version freezes it, so a redesign next year cannot change a receipt issued this year.

    Receipt templates
  • PDF, print and email

Every issued receipt renders to a PDF from the published design. Download it, print it, or email it to the donor with the PDF attached — and each of those is recorded against the receipt.

    Delivery and printing
  • WhatsApp receipts

Link the trust’s own WhatsApp number and send a receipt as a document with your wording as its caption. Automatically as it is issued, by hand, or asked each time — the organisation decides.

    WhatsApp receipts
  • Verification by QR code

Each copy carries a QR code that opens a public page stating the organisation, the donor, the amount, the date and whether the receipt is still valid. No account is needed to read it.

    Receipt verification
  • Donors and reference data

Donor records carry the tax identifier Form 10BD asks for, a PIN code fills city and state, and giving is organised by donation head, donation type and payment method.

    Donor management
  • 11 reports, exported

Registers, donor and head-wise breakdowns, collection trends and financial-year summaries — every figure counted from receipts you have already issued, exported to CSV, Excel (XLSX) and PDF.

    Reports and exports
  • Authorised signatures

Hold one signature per signatory, decide which colleagues may print each one, and freeze the signatory name, designation and image onto the receipt at the moment it is issued.

    Authorised signatures
  • A team, with limits

Invite colleagues by email and grant capabilities one at a time from a catalogue of 43. What each person did is written to an append-only audit log.

From a donation to a receipt the donor can check

The path a single donation takes. Every step below is a screen in the application.

  1. Record the donation

Choose the donor — or add one as you go — then the amount, the date, the donation head, the donation type and how the money arrived. It is saved as a draft, which can still be corrected.

  2. Have it approved, if your trust works that way

Approval is a setting, off by default. Turned on, a draft has to be submitted and approved before anyone can issue it, and the approval is recorded against the person who gave it.

  3. Issue it

Issuing takes the next number in your series and closes the receipt. The template version, the organisation details and the signature are frozen onto it at that moment, so a reprint years later is the same document.

  4. Give it to the donor

Send it on WhatsApp or by email with the PDF attached, or download and print it. Whichever route it takes is recorded, so the question "did this donor ever get their receipt?" has an answer.

  5. Let the donor check it

The QR code on the receipt opens a public verification page. If the receipt is later voided, that page says so and tells the donor not to claim it.

Records that stay straight

Most of the work in receipting is not printing the receipt. It is being able to answer questions about it afterwards.

  • An issued receipt cannot be edited. Correcting one means voiding it and issuing another. The voided receipt keeps its number and is reported as voided, so the series never has a gap nobody can explain.
  • What a receipt printed is frozen onto it. The template version, the organisation’s details and the signatory’s name, designation and image are captured at issuance — so replacing a signature image or correcting a designation next year does not silently reprint every receipt ever issued with today’s version.
  • Actions are written to an append-only audit log that the organisation itself cannot edit. Recent activity appears on the dashboard, and each team member’s own entries appear on their record.
  • Reports state what they counted. Each one names which receipts it included — every receipt, issued only, or issued and voided — and the period it covers, so two reports on the same screen can be reconciled.

Frequently asked questions

What is Jinseva Receipts?

Jinseva Receipts is web-based donation receipt software for Indian NGOs and charitable trusts.

It records donations and donors, issues numbered receipts on a design your organisation controls, produces a PDF of each one, delivers receipts to donors on WhatsApp or by email, lets donors verify a receipt from its QR code, and reports on what has been issued.

Who is it for?

Indian NGOs and charitable trusts that issue donation receipts and have to account for them.

The organisation profile holds Indian registration details — PAN, registration number, 12A or 12AB, 80G and its validity dates, and optional fields such as FCRA, GSTIN, TAN and an NGO Darpan ID — and the legal type can be recorded as a trust, a society, a Section 8 company or other.

Can donors verify a receipt without signing in?

Yes. Every copy of a receipt carries a QR code pointing at a public verification page that needs no account.

The page is addressed by the receipt number together with a verification token carried in the QR code, not by the number alone — so holding a receipt lets you check that one receipt, and does not let anyone read a trust’s donor register by counting through receipt numbers.

Can receipts be downloaded and printed?

Yes. An issued receipt renders to a PDF from its published template design, and can be downloaded or printed from the receipt itself.

Both are recorded in the receipt’s delivery history alongside anything that was emailed, because a receipt handed over in person still needs to be accounted for.

Can donation receipts be sent on WhatsApp?

Yes. An organisation links its own WhatsApp number once, and an issued receipt can then be sent to a donor with the PDF attached as a document and the trust’s own wording as its caption.

Whether that happens automatically as a receipt is issued, by hand, or only when the person issuing it says so is a setting the organisation chooses; a trust that has chosen nothing sends by hand.

Can receipts be emailed to donors?

Yes. An issued receipt can be emailed to its donor with the PDF attached, using your organisation’s own name, address and 80G registration in the covering note.

You can add cc and bcc addresses and a reply-to that reaches the trust. Failed sends are retried on a fixed schedule, and a hard bounce stops immediately rather than being retried against an address that is known to be bad.

Can different people on the team have different access?

Yes. Access is granted from a catalogue of 43 named permissions, and the Member role is configured one person at a time.

A new member starts with the dashboard and nothing else, so somebody who should only record donations never gains the ability to issue them, change settings or read billing.

What reports are available?

There are 11: a receipt register, a donation register, a donor report, head-wise, donation-type and payment-mode breakdowns, daily and monthly collection, a financial year summary, and preparation views for Form 10BD and Form 10BE.

Each states which receipts it counted and the period it covers, and each can be exported to CSV, Excel (XLSX) and PDF.

Does it file Form 10BD with the Income Tax Department?

No. Jinseva Receipts prepares a donor-wise statement from your own issued receipts, in the dimensions Form 10BD asks about, and does not file anything.

The report is not certified as conforming to the current statutory schema, and says so on screen and in every exported file. Form 10BE is a preparation list for the same reason: that certificate is issued by the Income Tax Department after Form 10BD is filed and accepted, and no software can produce it.

Does it send receipts by SMS?

No. No SMS provider is connected, so SMS is not offered as a way of reaching donors.

Receipts reach donors on WhatsApp or by email, or by being downloaded and printed.

Can I pay for a plan online?

No. No online payment provider is connected, so the application does not take card or UPI payments.

A plan can be chosen and an invoice raised against your organisation; settling it happens outside the application. Published prices are on the pricing page.
