Donor records built around what reporting will ask for

A donor record holds what a receipt needs to print and what Form 10BD preparation will later ask about — the tax identifier, the donor’s classification and a full postal address — rather than a generic contact card.

What does donor management cover?

Two things: the donor register, and the reference data a donation is classified by — donation heads, donation types and payment methods.

Each organisation owns its own copies of all four. Renaming a donation head describes your own accounting, and changes nothing for any other trust on the platform or for receipts already issued.

What a donor record holds

The fields are chosen by what a receipt prints and what reporting has to state, not by what a contact form usually contains.

Name and classification
The donor’s name, and what kind of donor they are: individual, HUF, company, firm, AOP or BOI, trust, government or other — the categories a donor-wise statement distinguishes.
PAN
Optional, validated for format, and normalised so a number pasted as “ABCDE 1234 F” is the same record as one typed without spaces.
Aadhaar
Optional, held separately from the PAN, and checked against its own check digit — a mistyped digit is still twelve digits, so a length check alone would accept the wrong person.
Mobile
Required. A receipt nobody can deliver is a receipt somebody has to chase by hand.
Email and postal address
Email where the donor gave one, and a full address — which is a column Form 10BD preparation reports on.
Notes
Free text for anything the trust needs to remember about the donor.

Two ways the register grows

Most donors are added in the middle of writing a receipt, not from the donor screen.

  • From the receipt form. A donor who is not on file yet can be added without leaving the receipt being written, then used immediately.
  • From the donor register. The full form, with search across the existing records so a returning donor is found rather than duplicated.
  • Deactivated, not deleted. A donor who should no longer be offered is deactivated and can be restored. Receipts already issued to them are unaffected — a receipt is evidence, and evidence does not disappear because a contact record was tidied up.

The three lists a receipt is recorded against

Each carries one flag that reporting depends on, which is why they are lists rather than free text.

Donation head
What the money is for — general fund, a named project, a corpus appeal. Carries whether receipts under it may claim an 80G deduction.
Donation type
How the gift is classified, and whether it is corpus. Corpus donations are reported separately under Form 10BD.
Payment method
How the money arrived, and whether it is cash. The daily collection report splits cash from non-cash on the strength of that flag.

Frequently asked questions

Is a PAN required to record a donor?

No. A donation without a PAN is still a donation, and a trust that has received one still has to receipt it.

What the donor cannot then do is claim the deduction, because an 80G claim is matched against the PAN reported in Form 10BD. The donor form says so plainly, and the Form 10BD preparation view flags each such row as having no identifier rather than letting it through quietly.

Can a donor have both a PAN and an Aadhaar?

Yes, and they are kept as separate fields rather than one identifier slot.

The identifier a donor is reported under is derived rather than chosen: the PAN where there is one, otherwise the Aadhaar, otherwise none. Keeping them apart means a donor who later produces a PAN does not overwrite the Aadhaar the trust already holds them by.

Is a PAN checked against the Income Tax Department?

Not unless your deployment has been connected to a verification provider, which is optional and separate.

By default a PAN is validated for format — five letters, four digits, a letter — and nothing is sent anywhere. An Aadhaar is checked against its own check digit, which catches a mistyped digit that a length check would accept. A field that has only had its format checked is never described as verified.

Does entering a PIN code fill in the address?

It fills the city and the state. The rest of the address is typed.

The lookup runs against an Indian postal directory compiled into the application, so it needs no configuration, costs nothing per lookup and cannot be down. Nothing is validated against it: donors live abroad, and refusing an address because a compiled-in table had not caught up would be the worst possible trade.

What are donation heads, types and payment methods?

They are the three lists every receipt is recorded against, and each organisation keeps its own.

A donation head is what the money is for, and carries whether receipts under it may claim 80G. A donation type classifies the gift, including whether it is corpus — which Form 10BD reports separately. A payment method is how the money arrived, and carries whether it is cash, which the daily collection report splits out.
